Based in Belfast city centre, we are renowned for our commitment to quality and excellence.  We specialise in the recruitment and placement of temporary Nurses and Healthcare Assistants across Northern Ireland.

As part of our continued growth, we are seeking a motivated and organised Bookings Coordinator to support our busy operations team.


About the Role:

The Bookings Coordinator will play a key role in scheduling and managing staff placements across multiple healthcare clients. This is a dynamic, fast-paced role that involves close communication with care facilities, healthcare professionals, and internal teams. The ideal candidate will be highly organised, confident with multi-tasking, and thrive under pressure.

Key Responsibilities:

  • Act as the first point of contact for all booking and shift availability queries
  • Coordinate and schedule Nurses and Healthcare Assistants into shifts across a variety of client sites
  • Manage last-minute requests and staffing changes efficiently
  • Use CRM systems and online portals to confirm and update shift bookings
  • Send confirmations and shift information via SMS and email
  • Track and respond to shift amendments via online systems, ensuring all updates are accurately logged
  • Proactively gather candidate availability and log data via our App and CRM systems
  • Communicate effectively with candidates and clients regarding changes or updates
  • Maintain accurate records of bookings, availability, and compliance
  • Build and maintain strong relationships with our agency workforce to ensure high shift fulfilment
  • Participate in on-call duties (1 Saturday per month, with overtime or time in lieu allowance)

 

What We’re Looking For:

  • Proven experience in coordination, scheduling, customer service, or a similar administrative role
  • Strong organisational and time management skills with the ability to multi-task
  • Excellent verbal and written communication skills
  • A proactive, target-driven, and self-motivated mindset
  • Strong customer service skills and a professional telephone manner
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Confident using CRM platforms, and text/email communication tools

 

Essential Criteria:

  • GCSEs in English and Maths (A-C) or equivalent
  • Office-based experience in a fast-paced environment
  • Ability to remain calm under pressure and manage competing priorities
  • Previous experience within a healthcare agency would be desirable but not essential
